Digital Voucher & Entitlement Systems

Support for NFC-based digital voucher and staff entitlement systems used in major-event operations, replacing elements of paper-based processes.

Overview

Major hospitality events still run a lot of entitlement off paper: staff food, vouchers, hospitality extras. Moving parts of that onto NFC does not remove the operational problem — it changes where control has to sit.

The Problem

Paper is familiar and fragile. It is difficult to know what was issued, what was used, and what should have hit a till. That becomes a finance problem and a floor problem at the same time.

Requirements

  • Issue entitlements in a way operations can actually run
  • Redeem at outlets without inventing a second queue
  • Keep the process compatible with the existing EPOS estate
  • Improve control versus paper without adding ceremony
  • Support staff entitlements as well as guest-facing vouchers where used

My Role

Supported development and operational delivery: how the entitlement is issued, how it is redeemed on the estate, and how it is controlled during the event. Vendor internals, card encoding details and live volumes are not published here.

Approach

  • Treat NFC as a credential in an existing operational flow, not as a separate product
  • Design issue and redemption around outlet reality, not a lab demo
  • Keep Finance and Operations in the same conversation about what 'used' means
  • Document failure modes: lost credential, failed read, outlet not ready

System / Architecture

Issue → NFC credential → redemption at outlet → operational/financial control. The important join is with the EPOS estate, not with the radio protocol.

Implementation

  • Operational design for issue and redemption
  • Alignment with till and outlet processes
  • Event delivery support alongside the wider EPOS deployment
  • Replacement of selected paper-based entitlement steps

Challenges

  • Hardware and process both have to work under crowd conditions
  • Entitlement rules that make sense to Finance and to the person on the outlet
  • Failure handling that does not collapse back into paper by default

Outcome

Selected paper entitlements moved onto NFC with an operational path that can be run during major events. The point was control and speed on the floor, not a technology showcase.

What I Learned

  • Credentials only work if issue and redemption are staffed processes
  • A second system that does not join the till creates a third reconciliation
  • Event delivery is where entitlement systems are actually proven

Future Improvements

  • Tighter reporting of issued vs redeemed
  • Clearer exception handling when a read fails mid-service
  • Reuse of the same pattern on other event operations where it fits
